Project Overview

VIP Supply Co is a family-owned distributor that provides restaurant disposables, janitorial supplies, and other foodservice essentials - primarily serving multi-location restaurant groups. With warehouses in both Texas and Utah, the company’s success hinges on dependable fulfillment, customer-specific pricing accuracy, and the ability to manage operations cleanly across multiple locations. Before this project, VIP Supply was juggling two separate Shopify sites, each paired with its own QuickBooks account and struggled with disconnected data, clunky workflows, and an experience that didn’t work well for either their team or their customers. They needed one centralized system that could grow with them, ease day-to-day operations, and give restaurant partners more control through self-service tools.

Running on two Shopify storefronts meant VIP Supply had twice the admin work, double the room for error, and no easy way to connect customer hierarchies, manage tax exemptions, or sync inventory from Fishbowl IMS. The setup created friction across departments and held the company back from scaling efficiently. Access Solutions stepped in to build a unified B2B platform on BigCommerce - designed with clean data, easy reordering, and long-term flexibility in mind.

What We Delivered:
  • B2B Portal on BigCommerce: We developed a B2B storefront that’s straightforward and practical for restaurant teams placing recurring orders. Features include company hierarchies, credit card and net terms workflows, and the ability for users to register themselves.
  • Multi-Warehouse Inventory Sync: Fishbowl IMS was connected for real-time stock updates, with location-based visibility. Updates happen hourly, so restaurant managers always see accurate inventory tied to the right warehouse.
  • Multi-Location Management with Company Hierarchy: The platform was configured to support company hierarchies, allowing corporate managers to oversee multiple restaurant locations under a single account. Users can view activity across all associated sites, place orders on behalf of individual locations, and approve requisition lists submitted by local managers - without needing to switch between logins.
  • Accounting Integration: Orders now flow directly into QuickBooks, eliminating manual entry and cleaning up the invoicing process.
  • Stored Payment Methods and ACH Support: To enhance convenience and reduce processing costs, the system supports stored payment methods including credit cards and ACH transfers. This functionality simplifies the checkout process for buyers and helps VIP Supply avoid the 2–3% transaction fees typically associated with card payments, protecting margins on high-frequency orders.
  • Flexible Pricing by Customer: We used BigCommerce’s built-in price lists to manage customized pricing (usually 5–10 key SKUs per customer) without bloating the catalog.
  • Quick Reordering Tools: Restaurant managers got personalized shopping lists that make repeat orders fast and familiar.
  • Tax Configuration: Tax logic was set up to match warehouse-specific rules and jurisdictions, with exemptions in place for qualified customers. This setup also prepares them for possible Avalara integration down the line.
  • Checkout & Shipping: We set up region-based delivery options for Texas and Utah, added FedEx real-time rates, and used Google Maps to simplify address entry at checkout.
  • CMS & SEO Setup: We migrated and rebuilt core pages, set up Mailchimp integration for newsletters, redirected legacy URLs, and laid a solid SEO foundation.

Project Results

The end result is a unified, B2B-focused eCommerce experience that replaced two disjointed Shopify sites and several manual workflows. Now, VIP Supply runs everything through one BigCommerce store - with synced inventory via Fishbowl IMS, smoother accounting in QuickBooks, and self-service tools that match how restaurant teams actually work. Admin overhead is down, customer experience is up, and the business is finally set up to grow without the old roadblocks.
